Privacy Policy
How we handle information.

This policy describes how Maximos collects and uses information when you visit our websites, request access, or use the Maximos service. Institutional customers may also be covered by an order form, MSA, or DPA that controls if it conflicts with this page.
Customer Data
Customer Data is the content and materials you or your authorized users provide to the service. That can include documents, deal materials, notes, messages, financial or portfolio information, uploaded files, prompts, and other content submitted for processing.
You retain ownership of Customer Data, subject to the limited rights Maximos needs to operate the service. Maximos does not acquire ownership of Customer Data. Identifiable Customer Data from your organization is not made available to other customers.
Account and personal information
We collect professional contact and account information such as name, work email, firm, role, and authentication details. We use this information to provide, secure, support, bill, communicate about, and administer the service, including evaluating access requests.
Usage and service data
We collect operational information about how the service is used, including feature interactions, logs, device and browser information, performance and diagnostic data, usage patterns, metadata, and telemetry. We use this information to operate, secure, support, and improve the service.
Aggregated and de-identified data
Where legally permitted, Maximos may create and use aggregated, statistical, de-identified, or otherwise non-customer-identifiable information. We intend this information not to identify the customer or individual from whom the underlying information originated.
We may use this information to operate the service, improve features, evaluate system performance, conduct research and development, develop benchmarks, support security and analytics, understand usage, and improve models, workflows, retrieval systems, evaluations, ranking, recommendations, or related Maximos technology.
How we use AI
Deal materials, documents, notes, prompts, and related text may be processed by Maximos and by contracted AI providers so we can extract claims, retrieve context, generate analysis, and produce outputs for your workspace. Where the product supports it, we may apply technical measures such as redaction of obvious identifiers before certain prompts are sent to providers.
We may use Customer Data to provide and improve that customer’s experience where permitted by the applicable agreement. Identifiable Customer Data is used primarily to serve that customer. We may use usage data, service telemetry, feedback, and aggregated or de-identified information to improve the product, including models, evaluations, benchmarks, and related systems. We do not use identifiable Customer Data to expose one customer’s deal information, documents, portfolio data, strategies, or proprietary content to another customer.
Feedback
If you send suggestions, ideas, feature requests, or other product feedback, Maximos may use that feedback to operate and improve the service without obligation to you, subject to applicable law. Feedback does not transfer ownership of Customer Data.
Service providers
We use service providers to operate Maximos, including hosting, databases and file storage, authentication, payments, transactional email, analytics, and AI/model providers. Those providers process information on our behalf to provide their services. We do not sell personal data. We do not load advertising or social-media tracking pixels on marketing pages.

Legal, security, and other processing
We may process or disclose information when we believe it is reasonably necessary to comply with law, prevent fraud or abuse, enforce our agreements, protect the security of the service, protect Maximos, users, or third parties, or in connection with a corporate transaction.
Retention and requests
We retain information for as long as needed to provide the service and for legitimate business, legal, and security purposes. Firm data is exportable on request. Deletion of workspace data is available on termination, subject to legal holds and records we must keep. Ask for the current DPA and timeline at support@maximos.ai.
